Wholesale is retail with different arithmetic. Prices are per customer tier, quantities convert between cartons, dozens and units, and most sales leave on credit — so the ledger matters more than the receipt. A system that models only cash sales at a single price is abandoned within a month.

We build distribution systems around three records: the price this customer is entitled to, the stock the order will consume, and the balance still owed. Quotations, delivery notes, returns and settlements all hang off those three.

For traders who also run a retail counter, one platform serves both: wholesale customers get their tier and credit terms, walk-in sales get the retail price, and both draw from one inventory ledger.

What breaks in wholesale

  • Pricing that varies by customer

    Tiered, negotiated and slab pricing cannot live in a spreadsheet if invoicing is to stay consistent across staff.

  • Credit that is never fully visible

    Outstanding balances, partial payments and aged receivables must be part of the sales flow, not a monthly reconciliation exercise.

  • Units that change on the way out

    Buying by carton and selling by unit makes every stock number a conversion. Unmodelled, the count is wrong from the first purchase.

    Damaged goods, expiry returns and supplier claims move stock and money in opposite directions and must both post correctly.

Can one system run both wholesale and retail?

Yes, and it usually should. One inventory ledger with two pricing paths avoids the classic failure where the shop and the warehouse believe different stock numbers.
