Finance
Finance systems where the ledger is generated, not typed in twice
Chart of accounts, journals, receivables and period close, posted from the documents that created them.
Problem
Operational documents retyped into the accounting package at month end, and closed periods quietly edited afterwards.
Software
Automatic posting rules from sales and purchases, immutable journals, attributable adjustments and a locking period close.
Result
A trial balance available on any day, and an audit that is a query rather than an investigation.
The most common accounting problem in a growing business is not the accounting — it is re-entry. Sales exist in one system, purchases in another, and the ledger is typed up from both at month end. Every figure is then a copy, and every discrepancy is a hunt.
We build finance systems where the ledger is a consequence. A sale, purchase, return or payment posts into the chart of accounts as it happens, so the trial balance is a view of operations rather than a monthly reconstruction. EncoderPOS includes exactly this: a real chart of accounts, double-entry journals and period close driven by the same documents that move stock.
This is also where audit posture is decided. Immutable journals, attributable adjustments and a defensible period close cost little to design in and are close to impossible to add convincingly afterwards.
What breaks in finance
Double entry of the same transaction
Operational and financial systems that do not share documents guarantee divergence and consume finance staff time in reconciliation.
Closed periods that reopen
If historical entries can be edited silently, no report is stable and no audit is straightforward.
Receivables without an owner
Aged balances need to be visible where the sales decision is made, not only in a monthly finance report.
Tax reporting assembled by hand
Tax positions should fall out of correctly categorised documents, not from a spreadsheet built each filing period.

FAQ
Finance — questions
Can you integrate with the accounting package we use?
Yes. Where a business is committed to an existing package we post into it through its API or import format rather than duplicating the ledger.
Does this replace an accountant?
No. It gives an accountant a reliable set of books to work from, with the operational document behind every figure still traceable.
